An Orbits IT Case Study

The Company

Based in Nottinghamshire, Citizens Advice Bassetlaw (CAB) is an independent charity part of the national Citizen’s Advice service. With a team of 60 paid staff and trained volunteers, it provides free confidential, impartial and independent advice and information on a wide range of subjects.

The Problem

CAB faced challenges with an outdated server that no longer received security updates or software support from Microsoft. Additionally, staff were stretched across two sites with no access to a shared server.

After CAB expressed their desire for a new cloud-based server, Orbits was invited to submit a proposal. However, after careful evaluation, Orbits determined that a fully cloud-based server was not the optimal solution.

Chris Griffin, Operations Manager at CAB, explained “We had an extensive tender programme and invited several providers to submit quotes for the business. It was only during this process that we learned that many of the items we had asked for were unnecessarily complicated. Jim’s honesty and courage in stating this impressed me more than anything – it was the main reason we picked Orbits. While other providers were happy to go along with our outline plan, Jim was the only one who stopped and told us the difficulties of what we were requesting.”

The Solution

Jim explained that for an organization like CAB, moving straight to a fully cloud-based server may not be the best option. Instead, they proposed a hybrid server model that combines the benefits of a cloud-based server with the conveniences and reliability of a local system.

By adopting a hybrid server model, CAB avoided the daunting task of transferring all their existing data to the Cloud and reduced the risk of being completely dependent on fast and reliable connectivity. It also serves as a stepping-stone towards eventually transitioning to a fully cloud-based server.

Chris comments on the setup of the new server, praising Orbits for quickly ordering and installing the necessary equipment and ensuring the security vulnerability of an old operating system was addressed. The data transfer from the old system was seamless, and the on-site presence of Orbits’ technicians for two days provided immediate assistance to resolve any questions or concerns.

Orbits now manages CAB’s Windows server software and hardware and provides support for their network infrastructure. Additionally, as part of the IT overhaul, Orbits upgraded the broadband to address CAB’s previous connectivity issues.
