An Orbits IT Case Study

The Company

Citizens Advice Sandwell and Walsall is an independent charity part of the national Citizens Advice service, offering free, confidential, independent and impartial advice to anyone who needs the support.

They cover, Smethwick, Cradley Heath, Tipton, West Bromwich, Oldbury, Wednesbury and Walsall with a mixture of offices and mobile units.

Key Facts

  • Poor equipment and ongoing issues drained time, affecting productivity and frustrating staff.
  • IT was handled by non-specialists with occasional external help, which led to delays and wasn’t sustainable.
  • Orbits IT provided consistent, hands-on support, with a team that was approachable, capable, and genuinely easy to work with.
  • Focus was on tightening cybersecurity, with Cyber Essentials Plus seen as key for protecting data and unlocking future funding.
  • What started off overwhelming became straightforward, with Orbits IT leading the process and keeping things simple.

The Challenges

Our biggest concern was that we didn’t have the technical knowledge internally to fully understand the requirements or bridge the gaps ourselves. We were worried about missing something important or not being able to meet the standards required.

We had no in-house IT support and were relying on existing members of staff, who were not IT specialists, to manage our IT alongside an external consultant who provided ad hoc support when required. This approach wasn’t sustainable and often left us waiting for issues to be resolved.

Our IT was having a significant impact on both time and resources. Staff and volunteers were experiencing delays due to outdated or ineffective equipment, and technical issues often took longer than they should to resolve. This affected productivity, created frustration, and took valuable time away from delivering our services.

The Solution

As a charity, we have a responsibility to ensure that every pound is spent appropriately and delivers value for money. Following our initial conversations with Orbit’s IT, we felt confident that they understood both the financial pressures and operational needs of a charity. Being a local business based in Sandwell was also important to us, as we wanted to work with a partner who understood our community and organisation. From the outset, the team reassured us that they could meet our tight deadlines and deliver the level of support we needed, which gave us the confidence to move forward.

Orbits IT…

  • Took away the pressure and guided us through every stage of the project. Rather than feeling responsible for the technical work, we simply provided the information they needed while they managed the process. Their support made what initially felt like an overwhelming project much more manageable.
  • Strengthened our cybersecurity and ensured that the sensitive data we hold for our clients was properly protected.
  • Helped us achieve Cyber Essentials Plus, positioning us well for future funding opportunities, as many grant providers now require organisations to demonstrate recognised cybersecurity standards.

The Benefits

The biggest improvement has been our confidence in our cybersecurity and our understanding of what good IT management looks like. We now know our systems are secure, our staff are better supported, and we have a trusted team to turn to whenever we need assistance.

We now have immediate access to knowledgeable IT professionals who can quickly troubleshoot and resolve issues. Our hardware has been upgraded, enabling staff to work much more efficiently, and we now have a clear and straightforward process for reporting and tracking IT issues. One of the biggest achievements has been successfully gaining our Cyber Essentials Plus accreditation, something we couldn’t have achieved without Orbits IT’s expertise and support.

Every single person we’ve had the pleasure of working with has been fantastic. Jim, James, Alex and Jakub have all been outstanding. I even asked Jim where he recruits his team because every member of staff has been professional, knowledgeable, approachable and genuinely committed to helping us. Nothing is ever too much trouble; they always respond positively, and they arrive with a smile on their face. They are a real credit to the organisation and have made working with Orbits IT an enjoyable experience from day one.

Testimonial

Working with Orbits IT has been one of the best decisions we’ve made for our organisation. From the very beginning, they understood our needs as a charity, respected our budgets, and provided expert advice every step of the way. Their team has transformed the way we manage our IT, improved the experience for our staff and volunteers, and successfully guided us through achieving Cyber Essentials Plus accreditation.

“They have taken the stress out of IT, giving us complete confidence that our systems and data are secure. More than anything, it’s the people who make Orbits IT stand out. They are knowledgeable, responsive, approachable and genuinely care about delivering the best possible service. We would have no hesitation in recommending Orbits IT to any organisation looking for a trusted IT partner.
