The Company

Groundwork Wales is a charity that helps communities across Wales create better neighbourhoods, build skills and job prospects, and to live and work in a greener way. It has over 20 years’ experience in delivering bespoke projects that use the environment as a catalyst for building a more sustainable future. Programmes include the Green Dragon environmental standard, the Tesco Community Scheme and Green Doctor.

The Problem

The charity approached us seeking to modernise and upgrade the IT infrastructure for its two offices. An old Windows Server coupled with computers in excess of six years of age meant that the IT network was running at sub-optimal speeds. The broadband speed at both sites was also slow, while an unreliable virtual private network (VPN) connection for remote workers was compounding issues. As the server and access files we difficult to connect to remotely, Groundwork was keen to establish site-to-site connectivity between sites. This would allow all employees to access the same network and increase productivity. Other priorities for Groundwork were cybersecurity and the provision of guest Wi-Fi for visitors and delegates at its Tŷ Mynyddislwyn Environment Centre.

The Solution

Orbits IT, led by Operations Director Dean Bengough, undertook a comprehensive reconstruction of Groundwork’s IT infrastructure to address their specific needs and challenges. The project involved several key steps:

  • Installation of a robust Windows 2016 Server at Groundwork’s head office, enabling efficient management of user accounts, printers, and data storage. The server’s advanced features and security layers ensured seamless remote working capabilities.
  • Replacement of the majority of Groundwork’s computers with 29 new devices, including both laptops and desktops. These new systems were equipped with Microsoft Windows 10 Pro operating system and fortified with measures such as Bitlocker Encryption and centrally managed anti-virus software.
  • Establishment of a reliable private network between Groundwork’s two sites, along with a secure virtual private network (VPN) for remote workers. This was supported by necessary broadband upgrades to ensure stable and suitable connectivity.
  • Restructuring of the shared drive, ensuring appropriate access permissions and enhanced security measures for sensitive data. Accounts data was also migrated to a centralized storage repository for streamlined management.
  • Implementation of an updated and efficient backup system, replacing the previous labour-intensive process. The new system incorporated both on-site and cloud-based disaster recovery solutions to safeguard system data and configurations.

Groundwork’s Administration Coordinator, Beverley Powell, said that the process of switching was very smooth thanks to most of the work being done off-site. “Dates and timescales were given and the project was delivered to plan. Orbits were on-site to assist with any teething problems immediately following the installation. They were also available for the following weeks to answer any specific queries,” she added.
